The exhibitor agrees to abide by all rules and regulations governing the show established by The Lloydminster O.T.S. Heavy Oil Show Committee (hereinafter referred to as “LHOS”).
The exhibitor agrees to occupy the contracted exhibit space during show hours and to promote or advertise only the products and services described in this agreement.
Exhibitors wanting to offer food and/or drinks to the public during the show must submit the Food Services Agreement to The Lloydminster Agricultural Exhibition Association and obtain a Temporary Food Service/Vendor Permit from the Prairie North Health Region.
When leaving and entering back into the show, exhibitors are required to show their exhibitor badges.
The exhibitor agrees to ensure a fully staffed booth during show hours.
Determine the eligibility of exhibitors and exhibits for the show.
Reject or prohibit exhibits or exhibitors which LHOS considers objectionable inappropriate, disruptive or offensive to LHOS, other exhibitors or show attendees.
Change or modify the layout of the show and/or relocate exhibits or exhibitors.
Exhibitors shall not assign any rights or sublet space under this agreement without the prior written permission of LHOS. No booth sharing is permitted.
Only one business is permitted per booth; signage and promotional materials from only one business may be displayed per booth. Exhibitors are not permitted to hand out promotional materials or business cards from other businesses. Exhibitors in violation will be asked to remove the objects and may be denied booth rental for subsequent shows.
Exhibitors are responsible for obtaining exhibition insurance covering their personnel, exhibit material and equipment for the duration of move-in, show days, and move-out including public liability, property damage, fire and theft, etc. LHOS will not accept liability or responsibility for any loss, damage or injury occurring to exhibitor personnel or property, OR any loss, damage or injury caused to anyone or anything by the exhibitor. Exhibitors shall be liable for any damage inflicted by them to the exhibition facility.
All booths are to be set up by 4:00pm on Tuesday, September 10, 2024. No forklifts will be allowed in the building after this time. No set up is to occur on Wednesday September 10, 2024. If displays cannot be set up during the set up times, the exhibitor will forfeit the booth space. Any monies paid will not be refunded.
The exhibitor agrees that no moving in or out of goods or dismantling of displays will be permitted during the duration of the show and must remain intact until the closing hour of the last day of the show (4:00pm on Thursday, September 12, 2024).
The exhibitor agrees to remove its display and equipment from the show site by the final move-out time, and in the event of a failure to do so, or failure to return the allocated space to the same condition as at the move-in date, the Exhibitor agrees to pay for any additional costs and expenses incurred by LHOS.
Any advertising within your booth must be directly related to your business.
All displays must be fully contained in the exhibit space provided.
Exhibitors recognize that all equipment that is brought/operated at the show must meet the Saskatchewan Electrical codes. For any questions regarding code compliance, please contact Sask Power directly.
This contract may only be cancelled by the exhibitor provided written notice is received by LHOS at least 90 days prior to the first day of the show, in which case 50% of booth fees paid by the exhibitor will be refunded. If the exhibitor cancels after this date, the exhibitor is liable for full payment of the rental space. No refund will be issued for banquet tickets.
LHOS reserves the right to cancel this contract for any breach by the exhibitor of any of its terms.
In the event that Lloydminster Heavy Oil Show is cancelled for any reason, LHOS will not be liable to the exhibitor except to refund monies paid to that date for exhibit space minus any third party processing fees incurred while accepting payment.
Any empty space behind booths or draping is not for exhibitor storage. These areas are for LHOS and Goodkey Show Services use only. Exhibitors may only use space within their booth for all of their materials, boxes, etc.
No door prizes will be presented on stage or announced at the show from any exhibitor. Exhibitors drawing door prizes from their booth(s) must provide their own draw boxes and entry forms.
LHOS has an official photographer who will be taking pictures during the show. LHOS reserves the rights to reproduce all photographs, images and likenesses taken during the show for future promotional purposes.
No alcoholic beverages are allowed in the tradeshow areas (inside or outside).
Current Saskatchewan Health Authority guidelines will be followed at all LHOS events.
LHOS is not affiliated with any other events or organizations unless otherwise specifically stated on our website and take no responsibility or liability for their actions.
